How to Prepare Your Exhibition Booth for Photo and Video Coverage in Dubai

Exhibition coverage works best when the photography and video team understands what matters before the doors open. A small amount of preparation can make the difference between a collection of random event shots and a useful visual library for your marketing team.

Start with the moments that matter most

Share the timetable for VIP visits, presentations, product demonstrations, team meetings and any scheduled announcements. These moments are often difficult to recreate later, so they should be part of the shot plan from the beginning.

Prepare your brand assets and references

Send the current logo, campaign visuals and a few examples of previous content you liked. This helps the production team understand how the brand should feel and which details need to stay visible in wide shots, interviews and social reels.

Plan interviews before the exhibition gets busy

Executive interviews and visitor testimonials are much easier when the key talking points are prepared. The answers do not need to be scripted word for word, but short prompts help speakers stay confident and concise.

Think about where the content will be used

A LinkedIn recap, a website case study and an Instagram Reel need different framing. Tell the team which platforms matter most so they can capture enough horizontal, vertical, wide and close-up material during the same event.

Keep a short must-have list

Important guests, sponsor logos, products and team members can be missed in a crowded exhibition if nobody identifies them. A clear priority list allows the photographer and videographer to move with purpose while still capturing natural moments around the booth.

The goal is not to over-plan every frame. It is to make sure the production team knows what cannot be missed, then give them enough freedom to capture the energy of the exhibition naturally.
